OUR DATA PROMISE

 

MTM Youth Services CIC is committed to protecting your privacy and data. We will use the information that we collect about you in accordance with the General Data Protection Regulation 2018 and the Privacy and Electronic Communications Regulations 2003.

 

 

 

WHO WE ARE

 

MTM Youth Services CIC are a Community Interest Company (registered in England and Wales number 07621312). We aim to be clear when we collect your data and not do anything you wouldn’t reasonably expect. Developing a better understanding of our customers through their personal data allows us to make better decisions about the activities and projects we deliver, receive funding efficiently and, ultimately, helps us to reach our goal of delivering high quality youth work throughout Norfolk and beyond. This privacy policy sets out the ways in which we use your data and how you can hold us accountable for that.

 

 

 

WHAT INFORMATION DO WE COLLECT?

 

You give us your information when you sign up for an activity/project, or your parents, carers or support worker sign you up for an activity/project, either online via our website, by email, by post, or following a meeting with one of our Youth Workers. The information we hold about you may include:

 

  • Your name
  • Postal address
  • Telephone number
  • Email address
  • Your parent or carers name, address, phone number/s
  • Health, medical or dietary information/requirements relevant to the activity/project you are signing up for

 

We may also keep a record of the emails and texts we send you.

 

We also collect information about which activities/projects you have attended and on which date/s.

 

If you have received funding or a grant from us to enable you to participate in positive activities, for example, we will also keep a record of the amount funded, its purpose and relevant dates relating to the funding or grant.   We will only keep your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.  MTM has a Data Protection, Record Retention and Destruction Policy which can be requested at any time.

 

 

 

 

 

 

 

HOW DO WE USE YOUR DATA?

 

This information is used to select and inform you of other relevant events, activities or projects we think may be of interest to you, as well as opportunities to support our work as a Young Commissioner or as a volunteer

 

We use your data to:

 

  • Provide you with the information you have asked for
  • Contact you if there are any important changes to your activity/project booking
  • Keep a record of your relationship with us
  • Ensure we know how you prefer to be contacted
  • Tell you about changes in our services or new services, events, offers, and opportunities to support you that we think you’ll find of interest
  • Analyse your personal information to create a profile of your interests and preferences so that we can contact you with information most relevant to you

 

If you do not want to receive information by email, text or post about events, you have the option to change any of your contact preferences at any time by contacting us using the contact details at the end of this policy.

 

THIRD PARTIES

 

We will not share any of your personal details with any other third parties without your agreement, unless required in order to fulfil our contract with you (e.g. taxi companies), or allowed by law (for instance, if a safeguarding issue arises). All our trusted partners are required to comply with data protection laws and our high standards and are only allowed to process your information in strict compliance with our instructions to the extent necessary to allow them to perform the services they provide to us. We will always make sure appropriate controls are in place and we regularly monitor all our partners to ensure their compliance.

 

HOW WE KEEP YOUR DATA SAFE

 

Your personal data will be held and processed on MTM Youth Services CIC’s systems. Where possible we keep a single record for each customer. Your data is always held securely. Access to customer information is strictly controlled. It is held in the UK and the processes are EU compliant. We may need to disclose your details if required to the police, regulatory bodies or legal advisors.

 

SENSITIVE INFORMATION

 

Sometimes we ask you to provide sensitive information, for example when you sign up for our activity programmes, projects and youth clubs. We are committed to safeguarding children, young people and vulnerable adults and do all we can to ensure that all who work with us, whether at a youth club or when joining a positive activity event, are safe. For the details of children under 18, we will ask for the consent of a parent/carer to provide such information. As with all the personal information we hold, sensitive information is held securely and restricted to those who need to use it. We will delete information when we no longer need it.

 

BOOKING TRAVEL

 

MTM Youth Services CIC may collect, use or disclose personal information for the purposes of offering or booking travel services on your behalf, such as your name, age, address, phone number, e-mail address, emergency contact information, travel medical information (where required), trip destination information. This personal information enables us provide you with trip information and book transport.

 

CHANGES TO THIS POLICY

 

We may change this Privacy Policy from time to time. If we make any significant changes in the way we treat your personal information we will make this clear on our website or by contacting you directly.

 

WHAT ARE YOUR RIGHTS UNDER DATA PROTECTION LAWS?

YOUTH WORKERS (Employed, Sub-contracted and Volunteers)

 

All the above sections, where appropriate, also relate to data held about MTM’s employees, sub-contacted youth workers and volunteers.  MTM Youth Services CIC collects personal information from those individuals employed or sub-contracted by MTM Youth Services CIC, or who are on our mailing list, to the extent necessary to (i) identify the individual and (ii) evaluate their suitability for the position. This information may include name, contact information, educational and employment background, DBS/criminal record verification, residency and/or citizenship information, and other information necessary for us to screen potential employees and workers.
